Who is responsible
RO Approve is operated by Volodymyr Gubanov, sole proprietor (FOP), Odesa, Ukraine. Contact for privacy matters: privacy@roapprove.com.
What we collect
- Account data: your email, name, shop name and billing status.
- Shop data you enter: customers, vehicles, repair orders, estimates, invoices. For this data you are the controller and we are your processor.
- Approval records: when a shop's customer opens an approval link we record the decision, time, IP address and browser user agent.
- Usage and diagnostics: pages viewed, feature usage, errors and crash reports.
- Waitlist: email, shop name and any survey answers you choose to give.
Why we use it
- To provide and bill the Service (contract).
- To secure the Service and prevent abuse (legitimate interest).
- To improve the product using aggregated usage data (legitimate interest).
- To send product emails you asked for; you can unsubscribe at any time.
Who we share it with
Only processors needed to run the Service, under data-processing terms:
- Supabase (database and authentication, hosted in the United States)
- Vercel (hosting)
- Paddle (checkout and billing; Paddle is the merchant of record and an independent controller for payment data)
- Resend (transactional email)
- Sentry (error monitoring) and PostHog (product analytics)
- Anthropic (processing of support conversations when you use the AI-assisted support)
We do not sell personal data and do not use it for third-party advertising.
Cookies
We use strictly necessary cookies for login and first-party analytics cookies to understand usage. We do not use third-party advertising cookies.
Retention
Account and shop data are kept while your account is active and deleted within 30 days after closure on request. Invoices may be retained longer where tax law requires. Waitlist entries are deleted 12 months after launch if you have not created an account.
Your rights
Depending on where you live (including under GDPR and US state privacy laws) you may have the right to access, correct, export or delete your data, and to object to or restrict certain processing. Email privacy@roapprove.com and we will respond within 30 days. You may also lodge a complaint with your local supervisory authority.
Children
The Service is for businesses and is not directed at children under 16.
Changes
We will notify you of material changes by email or in the app.
